Reporting to the Chief Information Officer, this is a hybrid position where you will be in the office weekly and will be working as part of the overall team within the organization to provide oversight of the Portfolio Management Office (PMO) as well as support and manage projects so that cost, quality, scope, time, and benefits realization are controlled and achieved and appropriate documentation is maintained, including managing day-to-day activities in the PMO to ensure programs and projects meet organizational goals and requirements. You will also assist with resource allocation, problem solving and continuous improvement to project management and provide governance around the total investment for projects in support of business initiatives, including anticipating and solving problems with the help of internal business partners, members, external partners, and vendors.

Key accountabilities include:

  • Ensuring the successful implementation of the PMO’s strategy, responsibilities, services, and deliverables;
  • Producing and monitoring PMO reporting, including portfolio KPIs, and assisting the teams in reporting to Senior Management and other stakeholders on key status updates;
  • Providing and maintaining, together with the project teams, a capacity planning and resource tracking service across the Portfolio;
  • Updating and maintaining together with the project teams the risk log, action log, decisions log, and issue register;
  • Ensuring cross-project dependencies are identified and managed and the dependency log is accurately maintained;
  • Tracking of relevant financial project reporting while ensuring that projects adhere to the agreed budget In collaboration with Finance;
  • Coordinating project closure to distil good practices and ensure lessons learned are logged and communicated;
  • Monitoring best project management practices and driving continuous improvement and implementation of those practices;
  • Collaborating with cross functional team leads to address shared challenges across projects;
  • Driving execution excellence through continuous feedback and improvement;
  • Developing the PMO and a culture of project management throughout the organization through coaching, mentoring, and training.

Ideally you have a combination of education, training, and experience such as:

  • A bachelor's degree and project management certificate (PMP), or equivalent and relevant experience;
  • Proven track record for planning, executing, controlling, and closing projects and the ability to manage a project and its components simultaneously with minimal supervision;
  • Experience with various project management methodologies using hybrid, Agile (or similar) for medium to large sized projects;
  • Knowledge of benefits and dependency mapping, risk management and resource planning;
  • Highly proficient skills in Microsoft 365, including Teams, Word, Excel, PowerPoint, and Project including knowledge of additional project management software;
  • Excellent written/oral communication skills for reports and presentations;
  • Diplomatic ability to influence others at all levels of the business;
  • Strong and demonstrated ability to build lasting relationships with key stakeholders;
  • Ability to competently mediate disagreements and negotiate agreeable resolutions;
  • Experience with project level financial management;
  • Experience in defining and delivering benefits realization for projects.
